Senior Mailroom Representative

Job Introduction

The Senior Mailroom Representative will perform and/or review the outputs of all incoming and outgoing mail functions for the Miami Office. He/she will ensure all policies and procedures are observed and assist in their development and update.

The Mailroom Representative will also seek and act upon opportunities to reduce and control costs associated with printing, courier and other Mailroom functions under the direction of the Quality Control Manager.

Role Responsibility

The Senior Mailroom Representative will be responsible for the following activities:

  • Receive, sort, scan and distribute mail
  • Maintain records for management reports, inventory control and other purposes
  • Receive, sort and deliver internal communication between departments via interoffice mail
  • Retrieve or otherwise coordinate retrieval of documents stored off-site, as requested
  • Assist all departments with various copying, printing, packaging and mailing requests
  • Assemble and prepare outbound materials for distribution to customers and regional offices
  • Provide day-to-day direction to Mailroom Representatives under the direction of the Quality Control Manager
  • Forecast, plan and act upon strategies for the printing and courier function in the region
  • Review vendor proposals and plans; ensuring quality standards and cost targets are met
  • Prepare and deliver management and other reports and/or presentations illustrating the state of the operation
  • Actively and consistently support all efforts to simplify and enhance the customer experience
  • Perform other duties as assigned by the Head of Quality Assurance or line manager

The Ideal Candidate

  • High School Diploma or GED (required)
  • Valid Driver’s License and the ability to run errands during work hours (required)
  • Must be able to life and/or move up to 25lbs (required)
  • Experience in a Mailroom Operation (preferred)
  • Experience with USPS, DHL, UPS and other international carriers (preferred)
  • Bilingual in English and Spanish (required)
  • Excellent skills in organization, prioritizing and managing time
  • Excellent analytical skills and attention to detail
  • Demonstrated proficiency in the Microsoft Office Suite, specifically with Excel and Access
