Human Resources Specialist

Job Introduction

Provides guidance, coordination and support in the effective and consistent application of Human Resources unit policies, practices and procedures. Generally assist in the support of the HR team with focused time in Operation and Recruitment.

Role Responsibility

  • Responsible for personnel files including benefit files. Maintains the filing of all HR documents for the personnel folders in compliance with government regulations.
  • Proactively support the HR function by prioritizing tasks based on the employee life cycle.
  • Manages the filing and retrieval of all HR documents through the imaging system.
  • Supports employee inquiries on HR forms, applications, and other related documents via the company’s intranet.
  • Manages and administers the Car Pool Program, Service Anniversary and Birthday Recognition Programs.
  • Manages Recruitment in creation of correspondence and candidate tracking via tools and the applicant tracking system (ATS).
  • Maintains the HR process workflow and handles the coordination of all HR driven events.
  • Coordinate and facilitate candidate interviews with Hiring Manager and communications via the digital interviewing system.
  • Manages reviews required pre-screening information as part of the new hire process.
  • Manages the new hire checklist and pre-boarding process for all external new hires with assistance from the Corporate Recruiter.
  • Schedule seminars, wellness workshops, events and liaises with the Learning Business Partner to identify support during training.
  • Resolves calls and/or emails within scope of  HR functional expertise from employees
  • Support the HRBP team with Mid and End-of-year reviews.
  • Performs other duties as assigned.

Qualifications, Training & Experience:

  • Associate’s degree in Human Resources, Business Administration or related field is required.  4 year college degree required.
  • Minimum 2-3 years experience in Human Resources is required.
  • Knowledge of general HR procedures, preferably in an international organization.
  • Basic level knowledge and experience with MS Outlook, Word and Excel.
  • Experience with labor laws, broad understanding of recruiting and HR practices and procedures.
  • Bilingual Spanish/English with ability to read, write and compose correspondence in both languages is required.  Portuguese is a plus.
  • Exceptional customer service interpersonal skills and rapport building skills.
  • Excellent organizational, time management, prioritizing and multitasking skills.
  • Strong problem solving and follow through skills, ability to exercise discretion and independent judgment,
  • Demonstrated initiative and ability to work independently as well as perform effectively in a team environment.
  • Ability to handle confidential/sensitive information efficiently.
  • Ability to work effectively in a multi-ethnic and multi-cultural environment.
